Logistical Arrangements for Hunter School of Health Sciences

Things to bring:
  • kvm switch for laptops
  • power strip (4 or 5 outlets)
  • laser pointers (3)
  • batteries for above
  • wireless mouse
  • pushpins for posters
  • paper table cloths (National Liq has these)
  • bottle openers for beer and wine
  • tips for delivery personnel


A/V facilities

  • 3 handheld mics
  • 4 lapel mics (AA batteries)


Local maintenance crew were very helpful:

with setup of chairs and tables

  • 15-20 small tables for 4 people each (3ft x 3 ft)
  • 9-12 long tables (3 used for foyer, 4 for food, others for seating) 6ft x 2.5 ft
  • 100 chairs
  • several large trashcans in Rotunda

Setup in Rotunda done the day before with deliveries of tables, wine, posters

to get to loading dock, take 23rd St east, turn left on Asser Levy Place. Phone on left side, call x4300 to have door opened

Hao made name tags for everyone put into little baskets alphabetically

243 people registered by this mechanism


poster boards were from NYU Sackler office. There were 40 easels, more poster boards. Only ~25 were actually used


Catering was from Todaros
  • not enough coffee in the morning and it was not hot
    • could be due to not enough plugs in the foyer (?)

    • with ~300 people, we had barely enough for lunch
    • severe tail off in late afternoon and a lot of food left over for the reception - not well attended


Beer and drinks were provided from Todaros and we used a deli case fridge in Steve Einheber's lab to cool the wine ended up with 4 cases of beer and 1.5 cases of wine - this was too much for the reception

Coat racks were not used Plastic tablecloths were not very nice - thin and slippery. Paper much better - available from National Liquidators

additional 6 bottles purchased - this was too much, 1 case would have been enough Liquor stores don't sell beer - only wine. Have to use grocery store for this

A/V facilities:

Newly renovated computer projection system - PC at podium (the vga connector for external PC's didn't work)

Lights for the auditorium could not be dimmed, but projector seems bright enough

    • 3 laser pointers for speakers (1 should be fine - but the second as a backup)
    • AA and AAA batteries
    • David's PC and Hao's Mac
No overhead projector - no slides - no blackboard
