Overview of EM Scheduling at NYSBC


Time on our 200kV electron microscopes is allocated per institution according the calendar shown on CemMicroscopeSchedule. Each institutional representative is responsible for re-allocating time to individual users. We have a "request" page, described below. The goal is to ensure an equitable time allocation for each institution, while still retaining flexibility to maximize microscope usage.

Overview of Scheduling

Each institution is assigned one day on each 200kV microscope every 2 weeks. The institutional reps designate individual users for each pre-allocated days (9am-6pm, M-F). That information will be entered into the booking calendar schedule (CemMicroscopeSchedule).

It is likely that some institutions will not use all of their allocated time each week. On Wednesday, the remaining free days in the following week will be assigned by NYSBC staff based on a user request page. In any case, users should have finalized all their bookings for the following week by Wednesday.

  • CemMicroscopeSchedule, contains the monthly pre-allocation. Each institution is assigned one full day on both the Tecnai F20 and JEOL 2100F microscopes every 2-weeks. The institutional reps decide which user gets the pre-allocated days for the month and will enter the username(s) directly onto the calendar at CemMicroscopeSchedule (or can email the information to cem@nysbc.org). Calendar updates will continue on each Wednesday as unfilled time slots are allocated to "extra" users who didn't get or aren't satisfied with pre-allocated slots. Assignment for the JEOL 3200FSC is still by request for specialized projects (CemRequests).

  • CemRequests, is for users requesting extra daytime slots. Users can make one request per microscope at a time, so they can theoretically have up to 4 requests pending (Tecnai, 2100, 3200, and Helios). Requests will be handled in order of appearance. We are able to track changes on the page, so queue jumping will not be tolerated. Multiple day requests are allowed, and in fact encouraged for the 3200 and Helios microscopes. Users can request additional staff help here, otherwise NYSBC staff can be counted on to set up the microscope and load samples, but not sit with users the entire day. The exception is for the 3200, where a lot of staff interaction will be required for effective use of this more complex instrument. Again, this is the only place where users can request 3200 use, until use of that microscope becomes routine. After-hour and weekend requests for bookings should be made here as well.

  • CemSamplePrepSchedule is for users to book time on other instrumentation in the lab. Currently, these are the Freeze Substitution Unit, the High Pressure Freezer, the Plunge Freezer, the Microtome, and the Zeiss Scanner. People are encouraged to book time on these pieces of equipment before coming to NYSBC to use them. If the equipment is not booked in advance, we cannot guarantee that it will be available for use.

AFTER HOURS

In order for us to be aware of after-hours use, please request evening or weekend time on the CemRequests page. We will put such requests on the regular CemMicroscopeSchedule page.

WEDNESDAY: THE IMPORTANT DAY

Wednesday of the week prior is the key day by which bookings should be finalized. Cancellations and changes are allowed before this day, but after this the schedule is considered fixed. Users who cancel afterwards, or don't show up at all for their session, will be penalized when they ask for extra time later.
