Overview of EM Scheduling at NYSBC

Time on our 200kV electron microscopes is allocated per institution according the calendar shown on CemMicroscopeSchedule. Each institutional representative is responsible for re-allocating time to individual users. We have a "request" page, described below. The goal is to ensure an equitable time allocation for each institution, while still retaining flexibility to maximize microscope usage.

Policy on EM time allocation

Overview of Scheduling

Each institution is assigned one day on each 200kV microscope every 2 weeks. The institutional reps designate individual users for each pre-allocated days (9am-6pm, M-F). That information will be entered into the booking calendar schedule (CemMicroscopeSchedule).

It is likely that some institutions will not use all of their allocated time each week. On Wednesday, the remaining free days in the following week will be assigned by NYSBC staff based on a user request page. In any case, users should have finalized all their bookings for the following week by Wednesday.

Relevant TWiki PAGES

The relevant scheduling pages appear under the "Signups" heading on CemfacGroup

  • CemMicroscopeSchedule, contains the monthly pre-allocation. Each institution is assigned one full day on both the Tecnai F20 and JEOL 2100F microscopes every 2-weeks. The institutional reps decide which user gets the pre-allocated days for the month and will enter the username(s) directly onto the calendar at CemMicroscopeSchedule (or can email the information to cem@nysbc.org). Calendar updates will continue on each Wednesday as unfilled time slots are allocated to "extra" users who didn't get or aren't satisfied with pre-allocated slots. Assignment for the JEOL 3200FSC is still by request for specialized projects (CemRequests).

  • CemRequests, is for users requesting extra daytime slots. Users can make one request per microscope at a time, so they can theoretically have up to 4 requests pending (Tecnai, 2100, 3200, and Helios). Requests will be handled in order of appearance. We are able to track changes on the page, so queue jumping will not be tolerated. Multiple day requests are allowed, and in fact encouraged for the 3200 and Helios microscopes. Users can request additional staff help here, otherwise NYSBC staff can be counted on to set up the microscope and load samples, but not sit with users the entire day. The exception is for the 3200, where a lot of staff interaction will be required for effective use of this more complex instrument. Again, this is the only place where users can request 3200 use, until use of that microscope becomes routine. After-hour and weekend requests for bookings should be made here as well.

  • CemSamplePrepSchedule is for users to book time on other instrumentation in the lab. Currently, these are the Freeze Substitution Unit, the High Pressure Freezer, the Plunge Freezer, the Microtome, and the Zeiss Scanner. People are encouraged to book time on these pieces of equipment before coming to NYSBC to use them. If the equipment is not booked in advance, we cannot guarantee that it will be available for use.

Calendar updates will continue on each Wednesday as unfilled time slots are allocated to "extra" users who didn't get or aren't satisfied with pre-allocated slots. The php calendar (http://www.nysbc.org/em-signup) is used by users to "sign-in" and to log information about their sessions. Assignment for the JEOL 3200FSC is still by request for specialized projects (CemRequests).

  • CemRequests, is for users requesting extra daytime slots. Users can make one request per microscope at a time, so they can theoretically have up to 3 requests pending (Tecnai, 2100, and 3200). Requests will be handled in order of appearance. We are able to track changes on the page, so queue jumping will not be tolerated. Multiple day requests are allowed, and in fact encouraged for the 3200 microscope. Finally, any qualified user can book after-hour use, Jeol1230 or other instrumentation through the php calendar (http://www.nysbc.org/em-signup).

Overview of EM Scheduling at NYSBC

Time on our 200kV electron microscopes are allocated per institution according the the calendar shown below. Each institutional representative is responsible for re-allocating time to individual users. We have a "request" page and a "trade" page, described below.

It is also likely that some users will not be available on pre-allocated days. We therefore have a mechanism for trading pre-allocated days with other users. This can be done far in advance as we will post a schedule at least 3 months in advance. In any case, users should have finalized all their bookings for the following week by Wednesday.

We are changing the way microscope time is allocated. Previously, microscope time had been assigned on a first-come, first-served basis, and microscope usage was tracked by user. We are now changing to a system of pre-allocated time per institution, with each institutional rep re-allocating time to individual users. We are also adding a "request" page and "trade" page, described below. The goal is to ensure an equitable time allocation for each institution, while still retaining flexibility to prevent unused days. Changes will come into effect August 1.

Overview of EM Scheduling at NYSBC

We are changing the way microscope time is allocated. Previously, microscope time had been assigned on a first-come, first-served basis, and microscope usage was tracked by user. We are now changing to a system of pre-allocated time per institution, with each institutional rep re-allocating time to individual users. We are also adding a "request" page and "trade" page, described below. The goal is to ensure an equitable time allocation for each institution, while still retaining flexibility to prevent unused days. Changes will come into effect August 1.

Policy on EM time allocation

OVERVIEW of the Scheduling Changes

Each institution is assigned one day on each 200kV microscope every 2 weeks. The institutional reps designate individual users for each pre-allocated days (9am-6pm, M-F). That information will be entered into the booking calendar schedule (CemMicroscopeSchedule).

It is likely that some institutions will not use all of their allocated time each week. On Wednesday, the remaining free days in the following week will be assigned by NYSBC staff based on a user request page. It is also likely that some users will not be available on pre-allocated days. We therefore have a mechanism for trading pre-allocated days with other users. This can be done far in advance as we will post a schedule at least 3 months in advance. In any case, users should have finalized all their bookings for the following week by Wednesday.

NEW TWiki PAGES

The new pages appear under the "Signups" heading on CemfacGroup

  • The first page, CemMicroscopeSchedule, is a monthly pre-allocation. Each institution is assigned one full day on both the Tecnai F20 and Jeol3200F microscopes every 2-weeks. Assignment for the 3200 is still by request until it is fully up and running. The institutional reps will decide which user gets the pre-allocated days for the month. Once that is decided, you may update the twiki calendar yourselves, or you may contact us at cem@nysbc.org. Calendar updates will continue on each fateful Wednesday as unfilled time slots are allocated to "extra" users who didn't get or aren't satisfied with pre-allocated slots. The php calendar (http://www.nysbc.org/em-signup) will be used by users to "sign-in" and to log information about their sessions.

We are now changing to a system of pre-allocated time per institution, with each institutional rep re-allocating time to individual users. We are also adding a "request" page and "trade" page, described below. The goal is to ensure equal time for all institutions, while still retaining flexibility to prevent unused days. Changes will come into effect August 1.

That information will be entered into the booking calendar schedule (http://www.nysbc.net/twiki/bin/view/Main/CemMicroscopeSchedule).

Once that is decided, you may update the php calendar yourselves at http://www.nysbc.org/em-signup, or you may contact us at cem@nysbc.org. Php Calendar updates will continue on each fateful Wednesday as unfilled time slots are allocated to "extra" users who didn't get or aren't satisfied with pre-allocated slots. This php calendar will also be used by users to "sign-in" and to log information about their sessions.

  • The second TWiki page, CemRequests, is for user requests for extra daytime slots. Users can make one request per microscope at a time, so they can have up to 3 requests pending. Requests will be handled in order of appearance. We are able to track changes on the page, so queue jumping will not be tolerated. Multiple day requests are allowed, and in fact encouraged for the 3200 microscope. Finally, any qualified user can book after-hour use, Jeol1230 or other instrumentation through the php calendar (http://www.nysbc.org/em-signup).

  • The third page, CemTrade?, is set up to allow users to trade days. Ideally, they will make arrangements with each other, and then let us know of their arrangements. Changes will then be reflected in the php calendar, Users who cannot negotiate a trade and cannot use the microscope are expected to cancel their session before the Wednesday of the week prior to use, so others can use it.

CONTACT

We set up a new email account, cem@nysbc.org, which will go to all of us (Bill Rice, Ruben Diaz and KD Derr). That way, we will all be aware of what is happening with signups and will be able to respond to requests for assistance. This email will be used for scheduling -- assignments, cancellations, trade, etc.

UNCHANGED PAGES

Signups for the Jeol1230 and all other equipment will still be done by the same mechanism (phpsheduleit: http://www.nysbc.org/em-signup). Off hours microscope signups will also still be handled by php. In order for us to be aware of after-hours use, please request evening or weekend time on the CemRequests page. We will put such requests on the regular CemMicroscopeSchedule page. Logs of such use should still go on the phpsheduleit page.

WEDNESDAY: THE IMPORTANT DAY

Wednesday of the week prior is the key day by which bookings should be finalized. Cancellations and changes are allowed before this day, but after this the schedule is considered fixed. Users who cancel afterwards, or don't show up at all for their session, will be penalized when they ask for extra time later. Previously, microscope time had been assigned on a first-come, first-served basis, and microscope usage was tracked by user. We are now changing to a system of pre-allocated time per institution, with each institutional rep re-allocating time to individual users. We are also adding a "request" page and "trade" page, described below. The goal is to ensure equal time for all institutions, while still retaining flexibility to prevent unused days. Changes will come into effect August 1.

OVERVIEW

Each institution is assigned one day on each 200kV microscope every 2 weeks. The institutional reps designate individual users for each pre-allocated days (9am-6pm, M-F). That information will be entered into the booking calendar schedule (http://www.nysbc.org/em-signup).

NEW PAGES

The new pages appear under the "Signups" heading on the CEMFacGroup? TWiki page http://www.nysbc.net/twiki/bin/view/Main/CemfacGroup

institution is assigned one full day on both the Tecnai F20 and Jeol3200F microscopes every 2-weeks. Assignment for the 3200 is still by request until it is fully up and running. The institutional reps will decide which user gets the pre-allocated days for the month.

  • The second TWiki page, CemRequests, is for user requests for extra
daytime slots. Users can make one request per microscope at a time, so they can have up to 3 requests pending. Requests will be handled in order of appearance. We are able to track changes on the page, so queue jumping will not be tolerated. Multiple day requests are allowed, and in fact encouraged for the 3200 microscope. Finally, any qualified user can book after-hour use, Jeol1230 or other instrumentation through the php calendar (http://www.nysbc.org/em-signup).

  • The third page, CemTrade?, is set up to allow users to trade
days.

Signups for the Jeol1230 and all other equipment will still be done by the same mechanism (phpsheduleit: www.nysbc.org/em-signup). Off hours microscope signups will also still be handled by php. In order for us to be aware of after-hours use, please request evening or weekend time on the CemRequests page. We will put such requests on the regular CemMicroscopeSchedule page. Logs of such use should still go on the phpsheduleit page.

THE IMPORTANT DAY

WEDNESDAY: THE IMPORTANT DAY

Wednesday of the week prior is the key day by which bookings should be finalized. Cancellations and changes are allowed before this day, but after this the schedule is considered fixed. Users who cancel afterwards, or don't show up at all for their session, will be penalized when they ask for extra time later.
