NYSBC Guide for Sending, Storing and Handling Samples

GENERAL

NYSBC resources are housed at

All samples brought in or sent to NYSBC must comply with regulations concerning hazardous or bioactive materials. The center has standard laboratories (BSL-2) without any special biohazard facilities or equipment. The person preparing and packaging samples is fully responsible for proper documentation of the contents and must have had some basic training in laboratory safety (equivalent to License to operate a Chemical Laboratory -- http://www.nysbc.net/procedures/C14/). In cases where samples are to be shipped, the researcher must follow relevant shipping regulations of the shipper.

KNOWN OR POTENTIAL HAZARDS

Researchers are responsible for providing a detailed description of samples that contain known toxic or poisonous substances well in advance of their arrival at the facility in order to allow us time to evaluate whether we have the capability to handle and store them. The description should include known or suspected toxicity of the sample, any salts or additives in the solution as well as information about the pathogenicity of the source or recombinant organisms that produced the sample. Most shippers have specific instructions for hazardous shipments which you should scrupulously follow.

SHIPPING SAMPLES TO NYSBC

Sample packages must include a sheet containing the description of the sample and buffer and explicit handling and storage instructions (e.g. temperature, light sensitivity, etc.). Any potential hazards in case of spillage or tube breaks must also be detailed, as on an MSDS. NYSBC recommends FedEx for courier shipments.

BEAM LINE

Samples should be shipped preferably FedEx in dry shipper dewars to the following address: *John A. Schwanof NSLS, Bldg. 725 Stockroom, X4 Brookhaven National Laboratory Upton, NY 11973-5000* Phone: 631-344-5170

The dewar should be emptied of LN2 just before shipping. Please label the dewar with the following messages:

  • DRY SHIPPER
  • DELICATE UNIT
  • NON-REGULATED
  • NON-HAZARDOUS

If you use the word "liquid" or do not empty your dewar, the contents are considered "hazardous materials" and are prohibited from being shipped this method according to DOT regulations.

Please contact beamline personnel before you ship so we can add LN2 upon arrival.

Return shipping is not as straightforward. BNL regulations require that all packages sent off site follow a specific procedure including the submission of multiple paperwork. Please contact Randy Abramowitz or John A. Schwanof to arrange the return shipment of your dewar. Please provide your name, address, FedEx Account#, and phone# so we can fill out the appropriate paperwork.

Samples should be prepared and shipped in appropriate NMR sample tubes. If they are not, specific arrangements for handling the sample MUST be discussed with the NMR manager MichaelGoger in advance. SHIPPING SAMPLES TO YOU

Samples that are to be returned by mail should have appropriate packaging with correct labels and a pre-paid shipping form. Detailed information such as shipping temperature and preferences should also be provided.

VENDORS

NYSBC presently (May 2008) uses FedEx as its principal shipper. This reflects price considerations, and experience that their followup service (when needed) is excellent. If users desire the use of an alternate, they should EXPLICITY so state, and do so in a recorded fashion like email or fax.

NYSBC receives packages from all shippers. For small items ( < ~ 50 lb) delivery can be made AT ANY TIME (but may not be specially handled outside working hours). For any larger items see -- Loading dock details

STORAGE AT DESTINATION

If the shipped material requires any specific handling beyond storage of up to 48 h at room temperature ( > 55 deg F, < 80 deg F), then please
  1. Mark the outside of the package with a specific label with large letters requesting special storage
  2. Advise the recipient of the likely date, time of receipt and special instructions, by email or fax and ship for receipt at destination at attended hours (normally working hours at NYSBC).
